Job Description
Job Title: Administrative Coordinator
Organization: Northern BC Queer Connections Society (NBCQC)
Reports to: Executive Director
Location: Prince George, British Columbia
Position Type: Semi-part-time, permanent position. Short-term until March 31, with the possibility of extension pending additional grant funding.
Hours: 30 hours per week (flexible start and finish times)
Salary Range: $27.00 - $30.00 per hour, commensurate with experience
1. Organizational Overview
The Northern BC Queer Connections Society (NBCQCS) is a non-profit organization dedicated to fostering a safe, inclusive, and vibrant community for 2SLGBTQIA+ individuals and their allies across Northern British Columbia. We provide support, resources, advocacy, and celebratory events to connect and empower our diverse community.
2. Position Summary
The Administrative Coordinator is a key member of the NBCQCS team, responsible for ensuring the smooth and efficient operation of the organization. This role provides direct administrative support to the Executive Director and is central to the planning, coordination, and execution of NBCQCS events. The ideal candidate is highly organized, proactive, and passionate about supporting the 2SLGBTQIA+ community.
3. Key Responsibilities & Duties
A. Administrative & Operational Support (60%)
- Act as the primary administrative support for the Executive Director, including managing schedules, coordinating meetings, and preparing correspondence.
- Serve as the first point of contact for the organization, responding to general inquiries via phone, email, and in-person in a professional and welcoming manner.
- Maintain and organize digital and physical filing systems, including confidential records, contact lists, and membership databases.
- Prepare, format, and proofread documents such as reports, grant applications, meeting agendas, and minutes.
- Manage office inventory, including ordering supplies and maintaining relationships with vendors.
- Assist with basic financial administration, such as processing invoices, tracking expenses, preparing bank deposits, and supporting budget tracking under the direction of the Executive Director.
- Provide administrative support to the Board of Directors as needed.
B. Event Planning & Coordination (40%)
- Collaborate with the Executive Director and program staff to plan and coordinate all NBCQCS events, including workshops, support groups, fundraisers, and large-scale community celebrations like Pride.
- Manage event logistics from conception to completion, including venue booking, vendor management, permit applications, and equipment rentals.
- Coordinate event volunteers, including recruitment, scheduling, and on-site supervision.
- Develop and monitor event timelines and budgets to ensure successful execution.
- Manage event registration systems, ticketing, and attendee communications.
- Assist in the creation of promotional materials and contribute to event promotion through social media, newsletters, and community outreach.
- Provide on-site support during events to ensure they run smoothly.
4. Qualifications & Skills
Required:
- Demonstrated experience providing administrative support in a professional office environment.
- High proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent organizational and time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong written and verbal communication skills with impeccable attention to detail.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Ability to work both independently with minimal supervision and collaboratively as part of a small, dynamic team.
- A strong understanding of, and commitment to, the principles of equity, diversity, and inclusion, with a deep respect for the 2SLGBTQIA+ community.
Assets:
- Post-secondary diploma in Office Administration, Event Management, or a related field, AND/OR an equivalent combination of 3+ years of relevant work experience.
- Lived experience as a member of the 2SLGBTQIA+ community.
- Previous experience working or volunteering in a non-profit organization.
- Proven experience in planning and coordinating events of various sizes.
- Familiarity with social media platforms and content creation tools (e.g., Canva).
- Valid Class 5 Driver’s License and access to a reliable vehicle.
